EXPO 150, the sesquicentennial event for the County of Renfrew, ON, required more than 70,000 square feet of tenting (15 – 40’x 100’ tents, plus a number of smaller additional ancillary tents). The list of items required went to public tender and Affair Tent & Event Rentals was selected as the supplier of choice, presenting a cost effective solution and industry leading operational abilities.
As is common practice, the municipality posted details concerning all competing bids (5 in total) after the contract was awarded, with the leading two bids only $2,000 apart. Our winning bid came in at a very reasonable $63,000 (approx.). Surprisingly, the remaining three bids came in ranging from approx. 40% to a jaw dropping 100% more than our winning bid.
Overall, although substantial in total quantity/size of tent rentals required, from our perspective at least, this was a very simple, straightforward project, with few challenges to account for any significant variability in labour, transport, etc.
How the numbers from these three other competitors could vary so widely from ours and the next closest bid, for a very specific list of items is difficult to imagine, to say the least. When comparing the same rental products, from reputable, professional suppliers, we feel strongly that there should be very little variance in cost. Be cautious of tall tales and high pressure tactics from other tent rental companies on Ontario that try to convince you otherwise. (Note: Costs for premium and custom options will of course always be broadly variable, as comparing apples to apples is difficult for non-standard items.)
From project pricing proposal, to execution, this project went smoothly and efficiently. Yet another festival client left tremendously pleased with our services to their event, expressing their desire to work with us again on their future events.
