Tips To Get Started So you are planning a Sporting Event and want to ensure it is successful? Some of the key items to keep in mind are as follows:
- What is the sport that will be represented?
Are you hosting an event for football, soccer, tennis, hockey, golf, etc.? There are a wide range of sports that garner their fair share of public attention. Sporting events which traditionally take place outdoors (i.e. golf, tennis, marathons, Indy Car, equestrian events, etc.) have been relying on partnerships with Tent & Special Event rental companies like us for many years to ensure their events are operating at the highest level. Covering event attendees completely, providing VIP tented areas, or other coverage alternatives (e.g. skyboxes, etc.) provide huge benefits to the event as a whole. - What is the location?
More and more sporting events are tapping into a wider fan base by putting on special events at unique outdoor venues in conjunction with their event line up. A wide range of football, soccer and baseball stadiums are now offering pre-game/event temporary venues to their fans that are head and shoulders above the traditional “tailgating” experience. Pre-event tailgating in a parking lot adjacent to the stadium is good when the weather cooperates, but pre-event cocktails in the same location inside a huge custom structure featuring lighting, HVAC, bar service, catering, big screen pre-game shows and protection from the elements is much, much better. It can also be a great means by which to generate new revenues and draw in clientele looking for more upscale accommodations than a parking lot is able to offer. Hosting annual, semi-annual, monthly or even one-time events that break the typical mold of venue type for your sporting event is an effective means by which to drive a larger fan base and generate exponentially more public interest. The NHL Winter Classic is a great example of how successful an outdoor event can be for a sport that is now almost exclusively played indoors. Not sure where to start? - What is the rain plan? If you build it, they will come!
Event attendance drops sharply when rain is an issue and attendees have little or no cover to get out of the elements. Determine what percentage of the area will need to be covered (e.g. beer gardens, main stage area, VIP areas, vendor booths, etc.) and source quotes for tent rentals, flooring, stage, bleachers, etc. that may be required. Fencing, both for LCBO and crowd control purposes is simply not enough in today’s social climate. Local law enforcement and private security should be brought on hand to ensure attendee safety is paramount. Simple bag checks upon entry and crowd monitoring are prudent steps that should not be overlooked when dealing with large crowds of attendees. Remember: A safe event is a successful event.

Driving social awareness of the event is integral to a successful outcome. Social media is now an essential partner to traditional advertising and when executed correctly can generate tremendous interest in an event from a grass roots level.
